  • If you have an team care arrangement (TCA) plan with your GP such as a chronic disease management plan (CDMP) or Mental Health Plan, you may be entitled to

5-20 sessions which are partially rebatable by medicare.

The rebate is typically $56 from the total consult price. You will still need to pay the gap however, as bulk billing is not within our capacity.

Please let our fabulous reception team know if you have the paperwork from your GP, send it through, then can send you an itemised receipt to claim your rebate with using the claims portal of the medicare app/website or take the receipt into your local medicare branch.

  • Yes, we offer HICAPS private health rebates, depending on your insurance company and level of cover.

Please let our fabulous reception team know, and we can send you an itemised receipt to claim your rebate with your provider.

  • We understand that life gets busy! We will send you plenty of reminder SMS and emails to remind you of your appointment.

However, respect for time is a two way street.

Failure to cancel without 48 hours’ notice, with the exception of extenuating circumstances ofcourse, will result in the business retaining your 50% withholding deposit. This fee helps to cover our time and is a courtesy to patients on our waiting list who were unable to use the time allocated for your appointment.

But we aren’t monsters. If the unexpected does genuinely happen and extenuating circumstances occur, just let our reception team know. They may simply just request proof such as a medical certificate.

  • To aid time for future transactions, we will ask for your payment details upfront in order to book your appointment. These are kept in our database in a secure data encrypted location for the duration you are a client within our system. Payment can be made via EFTPOS or Credit Card (AMEX and Diners are not accepted).

  • Confidentiality and security is infused throughout our Practitioner Software, Halaxy so that you can be confident that you’re managing access to your data correctly. Examples include:

Halaxy service staff cannot see sensitive information; when Halaxy service staff access your account to assist with service queries, all confidential details are randomised or removed. If Halaxy staff need to assist with regard to a particular patient, they will ask for an anonymous patient ID rather than a patient's name.

Internally, Halaxy is operated from Melbourne, and data for Australian practitioners is stored within Australia in securely protected data centres with multiple backups in place. This data is protected by 256-bit bank grade security and encryption, meaning patient records, notes, and payment information are protected to the same level required by Australian banks.

When Halaxy integrated with funding bodies (such as Medicare and DVA), Halaxy passed system-wide security and operational tests to be permitted to integrate with these governmental bodies.

  • Halaxy's payments gateway is powered by Braintree in Australia and Hyperwallet in the EU. Both are subsidiaries of PayPal, who as one of the world's largest payments providers are protected by bank-grade encryption and world-class security protocols.

As a security measure, card details are stored through our partners and not stored by Halaxy directly, so payments data is not stored with patient records and Halaxy cannot retrieve card details.

When a patient's or client's card details are entered into Halaxy, they are stored and tokenised by Halaxy's payments gateway. This means that once initially entered and captured, card details are not visible to anybody within the clinic or at Halaxy and cannot be retrieved by Halaxy. If card details need to be altered or updated, this requires the card to be completely re-entered, as a tokenised card is unable to be edited.

In addition, Halaxy features a customisable authorised payment limit for transactions at which point the cardholder is required to enter a verification code via SMS to authorise the transaction. This not only protects cardholders from unauthorised transactions, it also lowers the risk of disputed payments because the cardholder is required to actively authorise the payment.

  • Unfortunately no.

We are legally obliged to ensure these consults are conducted face to face, only virtually.

This is to enable continued access to private health and medicare rebates for clients and so you can actually see the resources and education tools your dietitian communicates to you via screen sharing.

  • For security reasons, social media platforms, and even Skype are not secure enough and thus do not comply with patient confidentiality.

We conduct all online consults through Coviu secure software, and in special circumstances through zoom.

  • We recommend using your personal computer, laptop, ipad or tablet for all consults.

These are very visual and interactive consults. You will need to clearly see your dietitian and the nutritional aids she uses such as food packets or measuring cups as well as the educational videos, slides and resources shared with you on your screen. A phone can be very limiting.

Also phones often get calls or even overheat during consults which can cut the consult connection. Not ideal for you!
